Enclosed is a Request for Quotations (RFQ) for Gardening Services. If you would like to submit a quotation, follow the instructions in Section 3 of the solicitation, complete the required portions of the attached document, and submit it to the address shown on the Standard Form 1449 accompanying this letter.
The U.S. Government intends to award a contract to the responsible company submitting an acceptable offer at the lowest price. We intend to award a contract based on initial quotations, without holding discussions, although we may hold discussions with companies in the competitive range if there is a need to do so.
Please pay attention to a crucial requirement outlined in the DOSAR 652.242-73. This requirement mandates that all vendors possess the necessary licenses and permits to conduct business in Denmark. It is essential to ensure compliance with all Danish regulations and legalities to operate successfully in the country. Specifically, the Danish Tax authorities expect businesses to obtain a CVR number and fulfill tax obligations. You should review local laws before submitting a quotation.
The Embassy intends to conduct a pre-quotation conference followed by a site visit. The pre-quotation conference will be held on January 14, 2026 at 12:30 (local time) at the U.S. Embassy, Copenhagen. Prospective offerors/quoters interested in bidding and attending the pre-quotation conference and site visit must submit a list of names of all participants to CopenhagenContracts@state.gov with the subject line “19DA2026Q0001 Gardening Services” by 12:00 (local time) on January 12, 2026.
No one will be allowed to enter the premises without prior notification. Attendance at the pre-quotation conference and site visit is strongly recommended. Offerors are encouraged to review the solicitation documents in advance.
Please note that transportation for the site visit will not be provided. All participants are responsible for arranging their own transportation from the Embassy to the site location.
Quotations are due by 17:00 (local time) on February 11, 2026. No quotations will be accepted after this time. Quotations must be in English and incomplete quotations will not be accepted.
Your quotation must be submitted electronically with the subject line “19DA2026Q0001 Gardening Services” to CopenhagenContracts@state.gov.
It is important to make sure the submission is made in specific size and format; in MS-Word 2007/2010 or MS-Excel 2007/2010 or Adobe Acrobat (pdf) file format. The file size must not exceed 30MB. If the file size should exceed the 30MB, the submission must be made in separate files and attached to separate emails with less than 30MB each.

4. Additional information as required in Section 3
5. The Offeror should submit a completed IRS Form W-14, found at www.irs.gov/w14, to ensure compliance with FAR 52.229-11
6. Proof of SAM Registration
Offerors shall be registered in the SAM (System for Award Management) database at https://www.sam.gov prior to submittal of their offer/proposal as prescribed under FAR 4.1102. Failure to be registered at the time of proposal submission may deem the offeror’s proposal to be considered non-responsible and no further consideration will be given. Therefore, offerors are highly encouraged to register immediately if they are interested in submitting a response to this requirement.
