The West Fargo Public Works Department, within the City of West Fargo, is requesting Quotes for an 8-Foot Service Body. Quotes will be received by the City of West Fargo Public Works Department for the purpose of evaluating costs. Sealed Quotes along with a Digital Copy on a flash drive, will be received by the City of West Fargo Front Desk at 800 4th Ave E West Fargo, ND 58078, for the purpose of evaluating costs and operating parameters on one 8-Foot Service Body. Upon completion of the evaluation by the selection committee, an order may be placed. Quotes will be received until 2:00 PM on February 14, 2024 CITY OF WEST FARGO RIGHTS The City reserves the right to cancel this Request for Quote in writing or postpone the date and time for submitting Quotes at any time prior to the proposal due date. The City by this Request For Quote does not promise to accept the lowest cost or any other proposal and specifically reserves the right to reject any or all quotes, to waive any formal Quote requirements, to investigate the qualifications and experience of any Vendor, to reject any provisions in any proposal, to modify Request For Quote contents, to obtain new quotes, to negotiate the requested services and contract terms with any Vendor, or to proceed to do the work otherwise. The City hereby notifies all Vendors that it will affirmatively insure that regarding any contract entered into, pursuant to this request, minority business enterprises will be afforded full opportunity, and are encouraged to submit proposals in response to this invitation and will not be discriminated against on the grounds of race, color, sex, or national origin in consideration for an award. The City reserves the right to accept or reject all proposals that are in the best interest of the City. WARRANTY: Shall be stated in writing on the form provided. DELIVERY: Vendor must perform a complete pre-delivery service prior to delivery of equipment. All units are F.O.B., West Fargo Public Works. MANUALS: One (1) complete service manual, digital or printed One (1) complete parts manual, digital or printed One (1) operator’s manual One (1) training video (if available) TRAINING: Upon delivery to end-user, Vendor will provide instruction to operators on proper operation and daily maintenance. BIDDER: There shall be $500,000.00 minimum of product Liability coverage by the manufacturer and minimum of $500,000.00 Liability coverage by the product installers to protect the City of West Fargo. Certification shall be provided with a quote. Preference may be given to Vendor who has a local dealer with a reasonable amount of parts inventory. Requirements of this Request For Quote 1. Each bidder shall provide evidence of adherence to the specifications within this Request For Quote. 2. Provide bid to install Box on Ford F-250 3. Any items not specifically noted or specified in this Request For Quote that is required in order to supply the equipment requested, shall be considered incidental. Bidders shall provide lump sum pricing on the bid form. 4. The bidder shall note any deviations from the specifications on the enclosed bid form. 5. Each bidder shall provide a warranty period for the equipment provided on the enclosed bid form. 6. The equipment shall be completely inspected and serviced by the bidder prior to delivery. 7. The bidder shall be given an estimated date for delivery. Acceptance of Bid The acceptance of the bids shall be based on the following criteria. 1. Cost 2. Adherence to the specifications 3. Body Shell YES NO Minimum 14-gauge A-40 Galvanneal Steal Compartments top and back to be one piece seamless design Floor shall be a minimum 12-gauge tread plate with drain holes at the base of the bulkhead Floor shall be a minimum 12-gauge tread plate with drain holes at the base of the bulkhead Tailgate shall be of standard design and made of 14-gauge A-40 galvanneal steel Bumper shall be a grip strut with open center recess 2. Compartments YES NO Size of the compartments shall be the same configuration for street side and curb side All Shelving shall be made of a minimum 18-guage bright spangled galvanized steel Front door opening shall be a minimum of 23” wide X 33” High Horizontal doors shall be a minimum of 43” wide X 13” High Rear door openings shall be a minimum of 15” wide X 33” high Curb side, front, and rear compartments shall have a minimum of 5 slide out trays in each respective compartment. The front shall have 4 dividers per tray and the rear shall have 3 dividers per tray. The horizontal compartment shall have one tray with a minimum of 4 dividers. Each tray shall have a 250LB capacity. Street side, front, and rear compartments shall have 2 trays each. The front shall have 3 dividers per tray, and the rear shall have 2 dividers per tray. The Horizontal compartment shall have one tray with a minimum of 4 dividers. Each tray shall have a 250LB capacity Compartment Interiors shall be painted white or light grey to enhance illumination in the compartments Compartment doors shall be double shell, minimum 20-gauge, A-40 galvanized steel. They shall be fastened to the shell by a continuous stainless steel hinge Vertical compartments shall have spring loaded over center door closures Horizontal doors shall open to a ground level position and secured by removable heavy duty chain retainers Doors shall have weather tight flange mounted neoprene bulb type door seals Doors shall have stainless steel unpainted paddle latches with an adjustable striker plate. Rotary style is acceptable. Latches shall be slam-latchable 3. Lighting YES NO Stop, tail, turn, and backup lights shall be LED and recessed in the rear of the body. Light guard protection inside the compartments shall be incorporated to protect recessed lighting and wiring All lighting shall conform with N.D. DOT Regulations Wiring harness must be in a loom and connections to vehicle must be done with splicing 4. Paint YES NO The body shall be primed in a fully immersed prime paint coat process with a zinc phosphate pre coat and seal with oven cured Body is to be painted with a base clear coat finish as per manufacturer specifications. The color shall match that of the chassis that it will be mounted on. (The successful bidder of the utility box shall contact successful chassis bidder to find appropriate color code and to give the appropriate cab to axle length) Under body shall be coated with a minimum 6 mils of water based undercoating or equal material 5. Warranty YES NO There shall be a no rust through guarantee from the first 6 years from the date of in service Hinges, door latches, and shelves to carry a 6 year guarantee not to fail 6.
