SYNOPSIS OF PROJECT

This is a Sources Sought announcement to assist in the determination for advertising for interested vendors for Copier Servicing. No quotes are being requested or accepted with this announcement. This is not a solicitation for quotes and no contract shall be awarded from this announcement. The type of solicitation to issue will depend upon the responses to this announcement. No reimbursement will be made for any costs associated with providing information in response to this announcement or any follow-up information requests.
The purpose of this announcement is to gain knowledge of interest, capabilities, and qualifications of various members of the Small Business Community to compete and perform a Firm Fixed-Price contract.

The Carson National Forest anticipates soliciting for and awarding a contract for a base year and two option years for servicing of eight (8) Copy machines. This copier servicing package will include the current Government owned equipment listed below:

The Contractor is to conduct bi-annual servicing of a total of eight (8) copy machines (located at the SO, and all other district offices). The number of machines to be serviced is: two (2) at the Carson SO; and six (6) at the remaining district offices as stated above. The table above describes the make and model of items to be serviced.

•           Deep cleaning: Technicians perform a deep clean of internal components, removing dust and toner buildup that can cause issues.

•           Component inspection: Key parts like rollers, belts, and the fuser are checked for wear and tear.

•           Calibration and alignment: Print settings and color calibration are fine-tuned for optimal results.

•           Firmware updates: The machine's software is checked for necessary updates to fix bugs and improve performance.

•           Diagnostics and testing: The machine is tested, and diagnostic codes are checked to catch potential problems early.

•           Part replacement: Worn-out components are replaced to ensure proper function.


Offeror's response to this sources Sought shall include the following information:

• Offeror's name, address, point of contact, phone number, and e-mail address
• Offeror's inters in bidding on the solicitation when it is issued
• Offeror's capability to meet requirements
• Offeror's business size (small/large- type of small business)

Interested quoters shall respond to this Sources Sought no later than 03/13/2026, 1700 MT. All interested contractors must be registered in the System for Award Management (SAM) website to be eligible for award of Government contracts.
