The report file will be submitted to the Printer in portable document format (PDF). The finished report will be distributed to Essex residents using the United States Postal Service mail routes for the Town of Essex, Vermont. PROJECT DETAILS Report will be approximately 80 pages, including front and back covers. Bleeds may be necessary for the front and back covers. Front and back covers (printed front/back) will be 4-color on dull coated 80# paper. Interior pages (printed front/back) will be black text on white 50# uncoated paper. The report shall have a finished size of approximately 8.5 x 11. The PDF file will allow for bleed at a page size of 8.625 x 11.125. Reports should be either perfect bound or saddle stitch. Quotations may be submitted for one type or both types of bindings. The PDF will be submitted to the Printer no later than February 11, 2026. Final reports must reach resident mailboxes no later than February 21, 2026. The Printer shall mail the finished reports through the United States Postal Service (USPS) using Town of Essex mail routes. The Town of Essex has a permit number that can be used for this purpose. The Printer shall deliver 100 to 200 reports to the Town Office at 81 Main St., Essex Junction after reports are mailed. QUOTATION REQUIREMENTS All quotations must include the following information: Printer name, address, telephone number, and email. Proposed quotes shall be based on 5,800 printed copies of the annual report with 80 pages as described in the project details. (The actual number of printed reports may vary based on updated mail routes from the USPS and the actual page count will be determined closer to the deadline.) A proposed quote for postage/mailing copies of the annual report separated from the quote for printing. A proposed quote for the number of days to complete the project from the time the files are submitted to the Printer. ADVERTISING The Request for Quotations for Printing of the Town of Essex Annual Report will be posted on the Town of Essex website, mailed to local vendors, and posted on the Town of Essex Facebook page. SUBMITTAL PROCESS Proposals must be received by the Town Manager’s Office by 4:30 pm on Friday, January 30, 2026. Emailed quotes are preferred. Quotations may be emailed to or mailed to the Town Manager’s Office, ATTN: Kate Larose, 81 Main St., Essex Junction, VT 05452. SELECTION PROCESS Responses will be evaluated by the Town Manager and Assistant to the Manager. Notification will be provided by 4:30 pm on February 2, 2026. Quotations will be evaluated based on the following criteria: Understanding of the Project Previous, relevant experience Ability, capacity, and skill of vendor to perform the project and meet or exceed requirements Cost Distinguishing qualifications The Town of Essex reserves the right to waive any formalities or technicalities in the purchase of goods and services to accept or reject any or all quotations as deemed in the best interests of the Town.
